Extrua Dispatch · Field service management software

Field service management software, not just another job app.

Extrua Dispatch runs the whole field operation for Australian service businesses: the enquiry, the quote, scheduling and dispatch, field technician management on site, the invoice into Xero, and what every job actually made. One system, nothing typed twice. Built running the founder's own Sydney cleaning business, every day, and everything on this page is in the app today.

The difference

A job app tracks jobs. Field service management runs the business.

Most job apps stop at the job card. Dispatch carries the work from the first enquiry to the profit report, and manages the technicians doing it.

Enquiries

Job app: You type the enquiry in when you get back to the ute.

Dispatch: Website enquiries land in the system on their own. On Growth and Pro the AI chat on your site answers questions and captures them; on Pro the AI voice agent takes the details of every call.

Quotes

Job app: A PDF you chase by hand.

Dispatch: Sent, followed up on their own, with a deposit if you want one. The yes becomes a job in one step, nothing retyped.

Scheduling and dispatch

Job app: A calendar.

Dispatch: Every job and every crew on one board, recurring work set once, and a washed-out day moved in one go with each worker told.

Technicians on site

Job app: A job card on a phone.

Dispatch: GPS clock-on at the job address, checklists that must be ticked before a job can be done, photos, and an app that keeps working with no signal.

Safety and compliance

Job app: Paperwork in the glovebox.

Dispatch: SWMS signed on each worker's phone, on-site JSAs that lock once signed, licences and tickets with expiry dates. Free on every plan.

Invoicing and accounts

Job app: Invoice night on Sunday.

Dispatch: The finished job makes its own invoice, into Xero in one click or automatically, and the payment status comes back.

Your customers

Job app: Phone calls asking when you're coming.

Dispatch: A client portal where customers see their jobs, quotes and invoices, and request more work.

The owner's numbers

Job app: A guess at the end of the quarter.

Dispatch: Job costing and profit reports: what each job and each client actually made. On Growth and Pro, where your work comes from.

Comparing apps? Best field service management software in Australia (2026) puts eight side by side, with each vendor’s published prices.

The whole job, in one system

From the enquiry to what the job made

Each step carries into the next, so the office never retypes what the field already entered.

01

The enquiry is captured

From your website, your portal or your phone, the enquiry is in Dispatch with the customer's details, ready to quote. The AI never books jobs: it takes the details, and the call back is yours.
02

The quote goes out, and chases itself

Build and send the quote while the job is fresh, take a deposit up front, and let the follow-ups run. Repeat work? Copy a quote and change what's different.
03

The yes becomes a scheduled job

One step turns an accepted quote into a job on the board: pick the day and time, and the customer, address, work and price carry across. Put the right technician on it, or set it to repeat.
04

The technician does the job, signal or not

Clock on with GPS at the job address, work the checklist, take the photos, sign the JSA if the job needs one. In a basement or a plant room the app keeps working and syncs later.
05

Done becomes an invoice, and paid shows up

Mark it done and the invoice is made from the job, per job or batched weekly, fortnightly or four-weekly per customer. It goes to Xero, and the payment status comes back. MYOB and QuickBooks are coming soon.
06

You see what it made

Job costing and profit reports show what each job and each client really earned, so you price the next one on facts, not feel.
Field technician management

Know who's where, and that it was done right

The part most job apps leave to trust. Dispatch puts it on the technician's phone, and the record in the office.

Proof they were there
GPS clock-on records start and finish times at the job address, from the technician's own phone.
Proof it was done properly
Checklists with required items: a job can't be marked done until every required item is ticked. Photos sit on the job.
Works where the signal doesn't
Clock-on, checklists and job details keep working offline and sync when the phone reconnects.
Safe, signed and current
SWMS signed per worker and per version, JSAs per job, and each worker's licences and tickets with their expiry dates. It helps you keep and show your records; it isn't legal advice.

FAQ

Field service management, answered

What is field service management software?

Field service management (FSM) software runs the work a business does at its customers' sites, from the first enquiry to the payment: quoting, scheduling and dispatching jobs to technicians, the technician's work on site, invoicing, and the numbers that show what each job made. A job app usually covers part of that; FSM software connects all of it so nothing is typed twice.

What's the difference between field service management and job management software?

Job management software tracks jobs. Field service management also manages the people doing them and the business around them: who is where, proof they were on site, safety paperwork, the customer's own portal, invoicing into your accounting, and job profit. Dispatch is built as the second.

What is field technician management?

Knowing which technician is on which job, that they arrived and when they left, that the work was done to your checklist, and that their safety paperwork and licences are current. In Dispatch that's GPS clock-on, required checklists, photos, SWMS, JSAs and licence expiry dates, on the technician's phone, with or without signal.

Is Dispatch field service management software for small business?

Yes. It's priced per person on the app, so a two-person business pays for two: Starter $53, Growth $57 and Pro $69 a user a month, in Australian dollars, with no GST charged. Clients, jobs and invoices are unlimited. The 14-day trial is free for your first user; extra users are billed when you add them.

What kinds of business use it?

Every kind of service business with people working on customers' sites: trades like electrical, plumbing, air-con, handyman and locksmiths, commercial, strata and home cleaning, and pest control, pool and window rounds. It was built running the founder's own Sydney cleaning business, which uses it every day.

Does it connect to Xero?

Yes. A finished job's invoice goes to Xero in one click or automatically, and the payment status comes back, so you see who has paid without opening Xero. MYOB and QuickBooks are coming soon.

Can I move across from the app I use now?

Yes. Bring your clients across with the import, from Jobber or from a spreadsheet, then invite your team.
