Extrua Dispatch · Regular house cleans · End-of-lease and bond cleans

House cleaning software for regulars and end-of-lease cleans.

Extrua Dispatch is job management software for house cleaning businesses: your regular customers set once so the week fills itself, end-of-lease jobs checked off and signed for, and a portal where customers pick how often, rate each visit and tell you when they’re away. Built running the founder's own Sydney cleaning business, every day.

Three things house cleaners tell us

“I quote at the kitchen table at night.”

Send one quote with the choices on it. The customer sees weekly, fortnightly and a one-off, each with its price, picks one and signs, and their pick becomes a regular clean in one step.

“Half my week is the same customers on the same days.”

Set each regular once, weekly, fortnightly, every four weeks or monthly, and the visits keep coming with the right cleaner, the address and the notes.

“I never know if the cleaner actually got there on time.”

Cleaners clock on with GPS at the address, and the checklist and photos show what was done. A cleaner who's due on site and hasn't clocked on gets a nudge from the app.

Watch it work · about a minute each

Bring the regulars across. Retire the invoice night.

The first shows your customers moving across from a spreadsheet and your regular cleans set on the schedule. The second shows a finished clean becoming its invoice, one per visit or one run per customer, sent to Xero.

No weeks of re-typing

Move your business across in an afternoon

Bring your clients across from a spreadsheet, set your regular jobs, invite the team. Your money history comes with you.

No more invoice nights

The paperwork does itself

Mark the job done and the invoice writes itself — line items, GST, sent to your books, paid status synced back.

Captions are on, so they work on mute. Want to click around yourself? Open the live demo.

Your regulars

The same customers, the same days, without the texting

Most of a house cleaner's week is regulars. Set them once and the visits, the reminders and the cleaner's notes keep coming without you.

Arrival windows
Promise “between 8 and 10” instead of an exact time. The reminder and the portal say the same, and the late alert waits until the window has passed.
Reminders
Each customer is reminded before their visit, inside business hours, so a weekend clean is reminded on Friday, not at 7am on Sunday.
Site guide
Where the vacuum lives, how the bed is made, the room not to touch: notes and photos the cleaner sees at every visit there.
Access notes
Gate and alarm codes kept sealed. A cleaner sees them only on the day of a visit they're on, and every opening is recorded.
Holiday hold
Pause a customer's visits between two dates in one step, instead of cancelling them one by one.
Hand over a round
A cleaner on leave? Give their regular visits to someone else from a date, with a preview of every visit that moves.
What your customers see

A portal that saves you the phone calls

Each customer gets their own portal with their visits, quotes and invoices. These are the things they can do there, and in every case you stay in charge of the schedule.

Pick how often

Weekly, fortnightly or a one-off on the same quote, each with its price. They choose and sign; a percentage deposit, if you ask for one, is worked out on their choice.

Ask to move or cancel

They ask from the visit itself and say when would suit. The visit stays booked until you decide, and you're told straight away.

Going away?

They pick the days they're away. You check what it means for the visits and the bill, then place the hold, or decline with a reason.

Rate each visit, privately

After a clean they can rate it in their portal. A low score alerts you, so an unhappy customer is found before a public review.

They can also add a note or ask for an extra on an upcoming visit; you add it with one click, and nothing is priced automatically.

End-of-lease and bond cleans

The one-off that has to pass inspection

An end-of-lease clean is judged by someone who wasn't there. Dispatch keeps the record of what was done, and who accepted it.

01

Quote it, extras and all

Put the oven, the windows or the walls on the quote as optional extras the customer ticks. They sign it online, with a deposit if you want one.
02

The checklist, item by item

Required items stop the job being marked done until they're ticked, and an item can need its own photo: the oven, the shower recess, the carpet by the door.
03

Signed off on the day

Switch on sign-off and whoever accepts the clean signs on the cleaner's phone, with their name and role. It works with no signal and is never required to finish.
04

A re-clean on the record

If something needs putting right, book a free return visit from the original clean, with the reason. It's linked to that visit and never invoiced.

FAQ

Questions house cleaners ask

Can customers choose weekly or fortnightly on the quote?

Yes. Give quote lines the same choice name and they become alternatives: the customer sees each option with its price, picks one and signs. Turning it into a regular clean starts at the frequency they picked, and the cleaner's checklist says which option it was.

What happens when a regular goes on holiday?

In their portal, under Going away?, they pick the days and add a note, and you're emailed. You check which visits it cancels and what it means for billing, then place the hold, or decline with a reason their portal shows. Nothing is held until you place it. You can also place a holiday hold yourself in one step.

How do I know the clean was done properly?

Cleaners clock on and off with GPS at the address, tick the checklist (required items must be ticked before the visit can be finished) and add photos, including any item you've marked as needing one. Customers can then rate each visit privately, and a low score alerts you.

Can I give customers an arrival window instead of a set time?

Yes. A visit can have a window of 30 minutes to 4 hours. The customer's reminder and portal show it ("arriving between 8:00 and 10:00 am"), the cleaner sees it, and the late-start alert waits until the window has passed. A regular clean keeps its window on every visit.

What if an end-of-lease clean needs going back to?

Book a free return visit from the original clean, with the reason. It stays linked to that visit and that customer and is never invoiced. If you switch on sign-off, the person accepting the clean signs on the cleaner's phone on the day, which gives you a record of what was accepted.

How much does it cost?

Per person on the app: Starter $53, Growth $57 and Pro $69 a user a month, in Australian dollars, with no GST charged. Customers, visits and invoices are unlimited, so a long list of regulars costs nothing extra. The 14-day trial is free for your first user; extra users are billed when you add them.
